If you are a sole trader we will obtain your full name, trading address, address for correspondence and your trading company name. In addition to this we may hold your telephone number, email address, bank account information, income and expenditure, and copies of your accounts.


Your data is collected by Revenues and Customer Services


It is collected by Telephone calls, online forms, visits to our offices, letter, email, 3rd party (e.g. your Landlord).


It is collected for the collection and assessment of Business Rates in accordance with the Local Government Finance Act 1988


It be used to correctly assess Business Rates liability and ensure the correct bill is issued.


If necessary and appropriate it may be shared with other local authorities, other departments within Mid Devon DC, and partners, including Police, Enforcement Agents, and Courts.


All ICT systems are accredited to Public Service Network standards with access restricted to relevant staff. All paper records are stored securely and we have a clear desk policy.


Paper files will be kept for a minimum of 6 years. Data stored on our processing system will need to be kept for as long as the current Business Rates Valuation List exists – this is currently 2017 but the 2010 is still open for adjustments – by keeping this data we are able to calculate accounts correctly in accordance with information provided to us by the Valuation Office Agency.
